2012 TCPRA Communication Awards
Entry Submission Guidelines

WHO CAN ENTER?
Entries are limited to creative efforts developed by or on behalf of a Tennessee higher education institution or an educational agency. Entries must be submitted by the eligible institution or agency.

WHAT IS ELIGIBLE?
Entries must have been published, broadcast, or used for the first time between April 1, 2011, and March 31, 2012. There is no limit to the number of entries an institution may submit within a category. Each entry will be evaluated against others in the same category, and judging will be based on overall creativity of the piece, marketing execution, and impact of message. Judges reserve the right to not name a winner if there is only one entry in the category. In some cases, judges may opt to name fewer than three winners per category. To avoid any conflict of interest, entries will be judged by outside advertising, marketing, or public relations professionals.

HOW DO WE SUBMIT?
Complete a separate entry form for each entry and attach it to the submission. Additionally, please include a manifest sheet listing all entries. If you enter submissions via jump drive, CD, or DVD, it is the submitting institution's responsibility to ensure that the submission will run on all computer formats. The fee is $25 per entry for members and $50 per entry for non-members. A check payable to TCPRA or a print out of the online payment form (see below) must accompany the entries. Personal checks are acceptable. No refunds are available. (Please be sure checks indicate payment for the award competition.)

ONLINE PAYMENT:
We have an easy-to-use online payment system available for the 2012 TCPRA awards. Go to http://tcpra2012awards.eventbrite.com  and you’ll find a list of award categories in both “member” and “non-member” sections. Select the number of entries you’re submitting in each category and then proceed to “pay.” After completing your transaction, you will get a receipt and entry “tickets” in the form of a .pdf that should be printed and included with your awards entries.

WHEN?
Entries and entry forms must be POSTMARKED NO LATER THAN April 6, 2012.

WINNERS' RECOGNITION:
Winners will be announced at the TCPRA Spring Conference Awards ceremony May 18 at Middle Tennessee State University. Awards will be presented for 1st, gold; 2nd, silver; and 3rd, bronze. A Best of Show award, the Charles Holmes Award, and the Otis Floyd Jr. Award for Excellence in Administration also will be presented at the ceremony. Entries will not be returned; however, they can be picked up at the end of the conference.

AWARD CATEGORIES:

NEWS RELEASE
Submit a copy of the news release. Include a brief statement describing its distribution and document how the release was picked up by media. That documentation can include photocopies or original tearsheets from printed publications and links to online stories or videos.

FEATURE/NEWS STORY in COLLEGE/ALUMNI MAGAZINE
Submit one copy of the story in publication form.

NEWSLETTER, Printed
Submit any two consecutive issues of a regularly produced printed newsletter. Include a brief statement describing your target audience, frequency of newsletter, distribution numbers, and any applicable feedback received on the publication.

NEWSLETTER, Electronic
Submit any two consecutive issues of a regularly produced electronic newsletter. Submit on a CD, jump drive, or provide URL. Include a brief statement describing your target audience, frequency of newsletter, distribution numbers, and any applicable feedback received on the publication.

COLLEGE/ALUMNI MAGAZINE -- PRINTED
Submit one issue of the college or alumni magazine. Include a brief statement describing your target audience, frequency of magazine, distribution numbers, and any applicable feedback received on the publication.  (NOTE: Annual reports, even in magazine format, should be submitted in the Reports category; alumni newsletters should be submitted in the Newsletter category.)

COLLEGE/ALUMNI MAGAZINE – ELECTRONIC
Submit a link to the e-magazine. Include a brief statement describing your target audience, frequency of magazine, distribution numbers, and any applicable feedback received on the publication.

REPORTS
Submit one copy of an annual, biannual, or other report published on a regular basis. The report does not have to include financial information, but should be a report on the state of the college. Submit a link to the magazine, if it is strictly an electronic publication. Include a brief statement describing your target audience, frequency of report, distribution numbers, and any applicable feedback received on the publication.

COLLEGE VIEWBOOKS
Submit one copy of the college viewbook used by the college’s admissions office.

SPORTS PUBLICATION
Submit one copy of a publication that promotes your college’s sports program. Include a brief statement describing your target audience, frequency of publication, distribution numbers, and any applicable feedback received on the publication.

SPECIAL PUBLICATION
Submit one copy of a one-time information piece designed to promote one program or activity. Include a brief statement describing your target audience, frequency of publication, distribution numbers, and any applicable feedback received on the publication.

MEDIA SUCCESS STORY
Entries should include three components: a brief statement describing your media objectives, strategies developed to meet these objectives, and samples of subsequent media coverage. Package all elements in a notebook or envelope with a list of included items.

SOCIAL MEDIA SUCCESS STORY
Entries should include a brief statement explaining your use of social media for a specific purpose. Describe your target audience, your goals, and the outcomes.

OVERALL PROMOTIONAL CAMPAIGN
Entry should be a major communication campaign designed to promote education or specific programs for an extended period of time. Submit elements of the promotion, including posters, radio and television spots, brochures, newspaper ads, and press clippings. Package all elements in one notebook or envelope with a list of items included.

WEB PAGE/SITE
Submit on paper a printed screen of your college website, complete with URL. Include a brief statement describing your strategies on the design and any metrics that demonstrate the website’s success.

 

BROCHURE/FLIER
Submit one copy of a brochure or flier designed to market education or programs. Include a brief description of the intended audience and cost of production.

POSTER
Submit one copy of a poster. Include a brief description of the intended audience and cost of production.

POSTCARD/INVITATION
Submit one copy of a postcard or invitation used to promote an event or program. Include a brief description of the intended audience and cost of production.

BANNERS/OUTDOOR MEDIA
Submit an example of the college’s use of a banner or outdoor media to promote the college or a program. May be submitted as a photograph depicting usage. Include a brief statement describing your intended audience, your decision to use this type of promotion, where the banner/outdoor media was placed, and any attempts to measure success.

SPECIALTY ITEM
Submit one item that has been designed to promote an activity, special event, or the college. This category includes one-time or unique items that may not fit into other categories, i.e. promotional items, specialty CDs, etc. Include a brief description of the intended audience and cost of production.

PHOTOGRAPHY
Submit an 8x10 black-and-white or color print mounted on poster board, along with proof of publication or other evidence of use. One photo per entry.

PRINT ADVERTISEMENT
Present proof of publication for one advertisement from a newspaper, magazine, or similar publication. The advertisement should be mounted on poster board. Proof of publication should be mounted or submitted on jump drive.

PRINT ADVERTISEMENT SERIES
Present proof of publication for two or more advertisements from a series printed in a newspaper, magazine or similar publication. The advertisements should be mounted on poster board. Proof of publication should be mounted or submitted on jump drive.

RADIO ADVERTISEMENT/PSA
 
Submit one radio advertisement or PSA of sixty seconds or less on a CD or jump drive. One entry per CD/drive.

RADIO ADVERTISEMENT/PSA SERIES
Submit two or more radio advertisements or PSAs of sixty seconds or less from a series on a CD or jump. One entry per CD/drive.

VIDEO ADVERTISEMENT/PSA
Submit one video advertisement or PSA sixty seconds or less on a CD, DVD or jump drive. One entry per CD/DVD/drive.

VIDEO ADVERTISEMENT/PSA SERIES
Submit two or more video advertisements or PSAs from a series sixty seconds or less on CD, DVD or jump drive. One entry per CD/DVD/drive.

RADIO/TV SHOW OR NEWSCAST
Submit a radio or television show or newscast developed by your college on CD, DVD, or jump drive. One entry per CD/DVD/drive. Specify if an outside agency assisted in the production.

COLLEGE PROMOTIONAL VIDEO
Submit a promotional video developed by your college on CD, DVD, or jump drive. One entry per CD/DVD/drive. Specify if an outside agency assisted in the production.

SPECIAL EVENT – SEVEN DAYS OR LESS
This category is for individual activities centered around special occasions, such as anniversaries, inaugurations, homecomings or reunions, international functions, convocations, building dedications, etc. Entry should include a brief statement that describes the planning and execution, cost, and outcome. Entry can also include promotional materials.

SPECIAL EVENT – MORE THAN SEVEN DAYS
This category is for multiple activities centered on a theme, such as a fundraising campaign, a campus initiative, etc. Entry should include a brief statement that describes the planning and execution, cost, and outcome. Entry can also include promotional materials.

 

 

NOMINATIONS FOR SPECIALTY AWARDS
In addition to the communication award categories, the TCPRA also gives a special recognition for two other areas of achievement. To nominate someone for the Charles Holmes Award or the Otis Floyd, Jr. Award for Excellence in Administration, review the criteria below and submit the nominee’s name as well as an explanation of why the nominee should be considered for the honor. No entry fee is required for these awards. Nominations will be accepted through April 6, 2012, and should be e-mailed to Amy Blakely at ablakely@utk.edu. A selection committee will review all nominations. Recipients will be recognized at the awards ceremony at the TCPRA meeting on May 18 at Middle Tennessee State University.

CHARLES HOLMES AWARD
The Tennessee College Public Relations Association established this award in honor of Charles Holmes, a founding member of TCPRA. This award is presented annually to a member of TCPRA who demonstrates steadfast service and earnest dedication to the organization.

OTIS FLOYD, JR. AWARD FOR EXCELLENCE IN ADMINISTRATION
The Tennessee College Public Relations Association established this award in honor of Dr. Otis Floyd, Jr., the late Chancellor for the Tennessee Board of Regents. The award is presented annually to a higher education administrator in the state of Tennessee to recognize superior achievement. Criteria considered by a selection committee appointed each year by the president of the TCPRA will include but not be limited to innovation, leadership, vision, and communication. Accomplishments cited can be successful projects, singular personal achievements, or career services. Administrators from any segment of higher education can be considered for the award.
