2010 TCPRA Communication Awards

  Submission Guidelines

WHO CAN ENTER?
Entries are limited to creative efforts originated from a school or educational agency. Entries must be submitted by the educational institution.

WHAT IS ELIGIBLE?
Entries must have been published, broadcast or used for the first time between April 1, 2009, and April 1, 2010. Contestants may submit as many entries as they want in each category.Each entry submitted will be evaluated against other entries in the same category. To avoid any conflict of interest, entries will be judged by outside advertising, marketing or public relations professionals. Judging is based on overall creativity of the piece, marketing execution and impact of message.

HOW DO WE SUBMIT?
Complete a separate entry form for each entry and attach it to the submission. Additionally, please include a manifest sheet listing all entries. If you enter submissions via jump drive, CD or DVD, it is the submitting institution's responsibility to ensure that the submission will run on all computer formats. The fee is $25 per entry for members and $50 per entry for non-members. A check payable to TCPRA must accompany the entries. Personal checks are acceptable. No refunds are available. (Please be sure checks indicate payment for the award competition.)

Entries and entry forms must be POSTMARKED NO LATER THAN April 16, 2010.

WINNERS' RECOGNITION
The ranking of winning entries will be announced at the TCPRA Spring Conference Awards ceremony May 21 at Maryville College. Winners will receive awards for 1st, gold; 2nd, silver; and 3rd, bronze. A Best of Show award, the Charles Holmes Award, and the Otis Floyd Award will also be presented. Entries will not be returned; however, they can be picked up at the end of the conference.

 


AWARD CATEGORIES:


NEWSLETTER, Printed

Submit any two consecutive issues of a regularly produced printed newsletter.

NEWSLETTER, Electronic

Submit any two consecutive issues of a regularly produced electronic newsletter. Submit on a CD or jump drive, or provide URL.

FEATURE ARTICLE/NEWS STORY/ALUMNI MAGAZINE ARTICLE

Submit one copy of the article in manuscript form and one copy in publication form. To qualify, no more than one third of the article may have been rewritten by an editor.

BROCHURE/FLYER

Submit one copy of a brochure or flyer designed to market education or programs.

COLLEGE VIEWBOOKS

Submit one copy of the college viewbook used by the college admissions office.

COLLEGE OR ALUMNI MAGAZINE

Submit one copy of the alumni magazine. (NOTE: Annual reports and alumni tabloid newsletters have their own categories.)

REPORTS

Submit one copy of an annual, biannual or other report published on a regular basis.


MEDIA SUCCESS STORY


Entries must include three components: a brief statement describing the college’s media objectives, a brief statement describing strategies developed to meet these objectives, and samples of subsequent media coverage. Package all elements in one notebook or envelope with a list of the items included.

SPECIAL PUBLICATION

Submit one copy of a one-time information piece designed to promote one program or activity.


POSTER

Submit one copy of a poster.

PHOTOGRAPHY

Submit an 8x10 black and white or color print mounted on poster board, along with proof of publication or other evidence of use. One photo per entry.

PRINT ADVERTISEMENT

Present proof of publication for one advertisement from a newspaper, magazine or similar publication. The advertisement must be mounted on poster board.

RADIO ADVERTISEMENT

Submit one CD or jump drive recording of a radio advertisement of 60 seconds or less. One entry per jump drive or CD.

VIDEO ADVERTISEMENT

Submit one DVD or jump drive of an advertisement or public service announcement, 60 seconds or less. One entry per DVD/drive.

RADIO /TV SHOW OR NEWSCAST

Submit one CD, DVD or jump drive of a radio or television show or newscast developed by your college. One entry per CD/DVD/drive. Specify if an outside agency assists in the production.

OVERALL PROMOTIONAL CAMPAIGN

Entry should be a major communication campaign designed to promote education or specific programs for an extended period of time. Submit elements of the promotion, including posters, radio and television spots, brochures, newspaper ads and press clippings. Package all elements in one notebook or envelope with a list of items included.

SPECIALTY ITEM

Submit one item that has been designed to promote an activity, special event or the college. This category includes one-time or unique items that may not fit into other categories, i.e. promotional items, specialty CDs, etc.

WEB PAGE/SITE

Submit on paper a printed screen of your college Web site, complete with URL.

NOMINATIONS FOR SPECIALTY AWARDS

In addition to the above communication award categories, the TCPRA also gives a special recognition for two other achievement areas. To nominate someone for the Charles Holmes award or the Otis Floyd award, review the criteria for each award below and submit the nominee’s name as well as an explanation of why the nominee should be considered for the honor. No entry fee is required for these awards. Nominations will be accepted through April 16, 2010, and should be e-mailed to Julia Wood at
jwood@pstcc.edu. A selection committee will review all nominations. Recipients will be recognized at the awards ceremony at the TCPRA meeting at Maryville College in May.

CHARLES HOLMES AWARD

The Tennessee College Public Relations Association established this award in honor of Charles Holmes, a founding member of TCPRA. This award is presented annually to a member of TCPRA who demonstrates steadfast service and earnest dedication to the organization.

OTIS FLOYD, JR. AWARD FOR EXCELLENCE IN ADMINISTRATION

The Tennessee College Public Relations Association established this award in honor of Dr. Otis Floyd, Jr., the late Chancellor for the Tennessee Board of Regents. The award is presented annually to a higher education administrator in the state of Tennessee to recognize superior achievement. Criteria considered by a selection committee appointed each year by the president of the TCPRA will include but not be limited to: innovation, leadership, vision and communication. Accomplishments cited can be successful projects, singular personal achievements or career services. Administrators from any segment of higher education can be considered for the award.
